Communications and Events Officer (Full-time with flexible hours)

Term: 15 month contract including a 3 month probationary period, thereafter renewable annually.

Reporting to and working directly with the Director, the Communications and Events Officer is a core member of the team within Ireland’s national literature resource and support organisation for writers.

He/she will have dual responsibilities for:

  • planning, programing, organising, delivering/overseeing events, projects and other IWC initiatives
  • publicising the Centre’s programme of activities and raising the profile of the Centre

Key areas of responsibilities for the Communications and Events Officer position

  1. Planning, organising and delivery/overseeing of all events, projects and other IWC initiatives as follows:
  • Working with the Director in programming and delivering all events and projects taking place within and outside the building as part of the artistic programme.
  • Programming for new events/projects: identifying and delivering new innovative programme ideas either independently, or as part of the IWC team.
  • Identifying and fostering possible contacts, partnerships or connections that would benefit the IWC’s programming; short- and long-term.
  • Responsible for all event bookings, organisation and delivery in terms of recurrent IWC events, rentals, launches, partnership events or similar.
  • Manage the operations of all technical aspects required for events including sound, lighting and projection equipment.
  • Working closely with the Director and General Manager in the development of the educational programme, and assisting with rental and other opportunities within the building.
  • Updating and maintaining events logs data for funding applications and reports.

The ideal candidate will have the opportunity to grow creatively in the role and we are looking for new ideas.

  1. Delivery of all communications on behalf of the IWC as follows:
  • Drafting and/or proofreading of all IWC promotional and informative communications, requiring experience and competence of writing and proofing in various contexts, both traditional and digital: e.g. press releases, website and social media content, and report writing.
  • Maintaining and growing new relationships with key stakeholders within the role, such as media contacts and publishers.
  • Managing the IWC’s social media channels and ensuring tone and content is appropriate.
  • Development and maintenance of systems of operation for the smooth and efficient running of the Centre, such as systems for promotional and evaluation purposes.
  • Updating and maintaining communications data for funding applications and reports.
  • Responsible for overseeing and implementing changes to the IWC website.

 In addition, a key part of the role is to build new audiences through the development of projects. In 2018/19, the IWC will develop a Public Engagement Plan. The Communications and Events Officer will lead this new audience building initiative.

Other duties will be required to ensure the smooth running of the building and in the supervision and training for interns, volunteers and part-time staff as necessary. 

A working knowledge of Irish and other languages is a distinct advantage, as is having a full, clean driving licence.

 

Key skills and aptitudes required

  • Minimum 5 years relevant experience in the fields of communications, event management, and/or arts promotion. Programming experience is not essential but is an advantage.
  • Have outstanding interpersonal and communication skills with the ability to be approachable, diplomatic, discreet and confident in dealing with writers, media contacts, programming partners, the general public, and other stakeholders.
  • Be creative, proactive and highly organised, with a strong aptitude for problem-solving, fast thinking and a keen eye for accuracy and detail.
  • Excellent IT skills with a knowledge of content management systems, social media platforms (incl. Mailchimp, Facebook, Twitter, Instagram), Google Analytics, Google Drive, MS Office and PhotoShop.
  • A strong interest and knowledge of the Irish literary scene.
  • A motivated self-starter with strong interest in working in the arts and with an ability to prioritise and deliver concurrent programmes.
  • Be willing to work flexible hours (evenings/weekends as required).
  • Be willing to travel regionally (as required) as the IWC continues to expand its programming.

Position: Arts Administration Internship

Duration: 8 weeks, 20 - 30 hours per week

Description: The intern will gain practical experience in the Irish Writers Centre by supporting staff in day to day administration, and working in our busy reception area. Training will be given in the following: administration, communicating with writers, members and the general public, processing course payments, facilitating and some website management/social media. On completion, the intern will have attained skills in arts administration, customer service, and I.T. as part of a close team. Hours may include half-days or full days and one evening per week or exceptionally a Saturday per month, but we can work with the participants on a very flexible basis, no more than 30 hours per week.

Skills Requirements: The applicant should have good interpersonal skills and enjoy dealing with the public. An interest in literature and/or the arts would be a distinct advantage as well as an interest in social media. All applicants should have proficient computer skills and willing to learn how to use new computer programmes. The ability to work within a team is essential.

Education Requirements: An interest in the arts generally or literature in particular will be an advantage.

Compensation: This is an unpaid internship however travel costs will be reimbursed and the intern will receive membership to the centre and a place on a course of their choice.
